Reconciliation

Review commercial spend records, invoice references, attachments, and audit history in one place.

Reconciliation is the control point for validating commercial costs after they have been planned. It brings together promotions, rebates, listing fees, and trade spend so teams can compare expected values with reconciled outcomes and keep evidence attached to the record.

What Appears in Reconciliation

The page groups commercial records across these activity types:

  • promotions
  • case rebates
  • growth over-riders
  • listing fees
  • trade spend

This allows finance and commercial teams to review the same period with a consistent status model instead of reconciling each activity type in isolation.

Status

Records move through two main statuses:

  • Pending — expected values are present but the reconciliation has not been finalised
  • Reconciled — the reconciled total has been confirmed

The page defaults to pending work so teams can focus on what still needs attention.

Detail View

Opening a reconciliation record gives you a detailed workspace for:

  • expected total
  • reconciled total
  • variance
  • invoice reference
  • notes
  • line-level allocations

Use this view when you need to understand why the reconciled outcome differs from what was planned.

Attachments and Evidence

Each reconciliation record can hold supporting evidence as:

  • file attachments
  • external links

This is useful for invoices, credit notes, backup schedules, shared-drive links, or other supporting material that should travel with the record rather than living in email.

Audit History

The audit tab records status changes and important edits. This creates a visible history of who updated the record and when, which is especially helpful when several teams participate in the close process.

Use Reconciliation when you want to:

  • close out commercial activity against real outcomes
  • store invoice references with the underlying record
  • keep attachments and supporting evidence in one place
  • explain variance between expected and reconciled amounts
  • Trade Spend — Trade spend records feed into reconciliation
