Settings & Administration
Manage user access, tenant configuration, reporting defaults, integrations, and billing controls.
ProFeT’s administration surfaces are split across Settings, Admin, Account Config, and, for tenant admins, Billing. Together they control who can access the platform, how the tenant is configured, and which operating defaults apply across planning workflows.
Settings
Navigate to Settings for personal security controls and tenant-level operational defaults.
Security
Users can change their password from Settings without leaving the main application.
Forecast Defaults
Settings includes defaults that affect planning behaviour for new or unmanaged records:
- Safety Stock — Default safety stock level for new SKUs
- Waste Tolerance % — Default waste threshold used in planning calculations
Xero Integration
Settings also includes Xero connection controls:
- Connect a Xero account
- Run a connection test
- Disconnect an existing integration
When connected, ProFeT shows the linked tenant name and connection status so admins can verify the integration is healthy.
Admin Navigation
For admins, the Settings page also acts as a hub to related setup surfaces:
- Admin — User management and invitations
- Billing — Subscription, seat, and SKU capacity management
- Account Config — Reporting cutoff and customer lookup tables
- Site Admin — System-wide administration for super admins only
User Management
Navigate to Admin to manage your team and seat usage.
Inviting Users
Click Invite User and enter their email address. ProFeT sends an invitation email with a link to complete registration. The invitation appears in the Pending Invitations section until the user accepts.
You can cancel pending invitations, which also frees reserved seat capacity.
The Admin page also shows seat usage, including pending invites, so you can tell whether the tenant is at capacity before sending another invitation.
Roles
| Role | Capabilities |

| User | View and edit data — forecasts, actuals, customers, SKUs, promotions |
| Admin | Everything a User can do, plus: manage users, configure account settings, manage lookup tables |
| Super Admin | Site-level administration — manage tenants, system settings (internal use) |
Toggle a user’s admin status from the user list.
Removing Users
Admins can remove team members. Removed users lose access immediately.
Account Configuration
Navigate to Account Config to manage account-wide reporting behaviour and lookup tables used by customer records.
Reporting Cutoff
The Reporting Cutoff controls when actuals are treated as ready for downstream reporting and review. The page allows admins to:
- choose Automatic, Force weekly, or Force nightly mode
- set the weekly cutoff day
- set the cutoff time
- review the fixed timezone used for the cutoff
This is especially important when you are aligning Dashboard and Live Forecast views to the same actuals readiness rules.
Customer Lookup Tables

| Service Types | How customers are serviced (e.g. Direct, Via Distributor) |
SKU categories and units are managed in SKUs, not in Account Config.
Billing
Tenant admins can open Billing to manage the Stripe-backed subscription for the tenant.
Billing covers:
- current plan and subscription status
- current seat and SKU usage
- plan selection
- seat and SKU entitlement changes
- access to the Stripe Billing Portal for invoices, payment methods, and Stripe-managed billing tasks
If requested usage is lower than current live usage, ProFeT blocks the downgrade until the tenant is back within the requested limit. For a detailed walkthrough, see Billing.
Tenant Limits
Your tenant may have limits on:
- Max Seats — Number of active users allowed
- Max SKUs — Maximum number of SKUs in your catalogue
Current usage is shown on the Admin page. Invites count toward pending seat usage.
Site Administration
Super Admins have access to the Site Admin page for managing the multi-tenant platform:
- Create and configure new tenants
- Monitor tenant usage
- Manage system-level settings
This section is only visible to users with the Super Admin role.
